Terms & conditions
Last updated 19 October 2026
These terms apply when you book a tour with Hachioji Guide. Please read them before you book. By completing a booking, you agree to them on behalf of everyone in your group.
1. About us
Hachioji Guide is operated by Luke Allen, a sole trader based in Hachioji, Tokyo, Japan. In these terms, “we” and “us” means Hachioji Guide, and “you” means the person making the booking and their group. Contact: luke@ulprus.com.
2. Our tours
All tours are private guided walking tours for a single group of up to 4 guests, including children. We provide guiding only. We do not sell transport, accommodation or packages, and we are not a travel agency. Routes and timings shown on the website are a guide: we may adjust them on the day for your group's interests and pace, the weather, crowds, closures or safety.
3. Booking and payment
Your booking is confirmed when payment is complete and you receive our confirmation email. Prices are shown in Japanese yen and are the total price for your group. Payment is taken in full at the time of booking through Stripe. Train fares, the cable car, meals, drinks and entry fees are not included unless we say otherwise.
4. If you cancel or change your booking
- 72 hours or more before the start time: full refund.
- Between 24 and 72 hours before: 50% refund.
- Less than 24 hours before, or if you do not arrive: no refund.
- You can change your date once, free of charge, if you ask at least 72 hours before the start time.
Refunds are made to your original payment method, usually within 10 business days.
5. If we cancel or change your tour
We may need to cancel or change a tour because of illness, an emergency, unsafe weather or other conditions outside our control. For outdoor tours we will make a weather decision by 6pm (Japan time) the day before. If we cancel, you can choose a new date, a different tour on the same day where possible, or a full refund. We are not responsible for other costs you may have, such as transport or accommodation, so we recommend travel insurance.
6. Safety and your responsibilities
- Choose a tour that suits your group's fitness. Each tour shows its effort level. Please tell us about any health conditions, injuries or accessibility needs before the tour.
- Wear suitable clothing and footwear, and bring water and anything you personally need.
- Follow your guide's safety instructions, local rules and the etiquette of temples and shrines.
- The legal drinking age in Japan is 20. On tours that include bars or izakaya, guests under 20 will not be served alcohol.
- For everyone's safety, we may end a tour early, without a refund, if a guest's behaviour puts themselves or others at risk.
7. Children
Children are welcome and must be accompanied and supervised by an adult in your group at all times. Children count towards the maximum group size. Child discounts are shown at booking.
8. Lateness
Please arrive at the meeting point on time. If you are running late, message us. We will wait up to 30 minutes, and the tour will still finish at its scheduled time. If you do not arrive within 30 minutes and we have not heard from you, the tour is treated as a no-show.
9. Photos
Your guide may take photos of your group during the tour and will share them with you after the tour. We will only use photos of you publicly (for example on this website) with your written consent. Let us know at the start of the tour if you would prefer not to be photographed.
10. Our liability
We take reasonable care to run safe, well-planned tours. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or any liability that cannot be limited under Japanese law, including the Consumer Contract Act. Otherwise, our total liability to you is limited to the price you paid for the tour. We are not responsible for services provided by third parties, such as trains, the cable car, restaurants or attractions, or for loss of personal belongings. We strongly recommend travel insurance that covers hiking and sightseeing.
11. Events beyond our control
We are not liable for failing to provide a tour because of events beyond our reasonable control, such as natural disasters, extreme weather, transport disruption or government restrictions. In those cases we will offer a new date or a full refund.
12. Complaints
If something isn't right, please tell us during the tour so we can put it right, or email luke@ulprus.com within 14 days. We will reply within one business day.
13. Law and jurisdiction
These terms are governed by the laws of Japan, and disputes will be handled by the courts of Tokyo. This does not take away any rights you have as a consumer under the laws of the country where you live.
14. Changes to these terms
We may update these terms from time to time. The terms that apply to your booking are the ones shown when you booked.
